How to reduce PDF file size for email
Large PDFs can exceed email attachment limits. Here’s how to compress them safely.
Emails often have attachment size limits (e.g. 25 MB for Gmail). If your PDF is too large to send, you can compress it without sacrificing much quality. This guide explains easy methods to reduce PDF file size using built‑in tools or our online PDF compressor.
Option 1: Use our online PDF compressor
The simplest way to shrink a PDF for email is to use our Compress PDF tool. It runs in your browser and keeps your files private.
- Visit the Compress PDF tool.
- Drag your PDF into the drop zone or click to browse.
- Click Compress PDF. We’ll optimize images and remove unnecessary data.
- Download the smaller PDF and attach it to your email.
Option 2: Optimize via print to PDF (Windows & macOS)
On a desktop, you can also “print” the document back to PDF at a lower quality:
- Open your PDF in a PDF viewer (Adobe Reader, Preview, etc.).
- Choose Print… then select a virtual PDF printer (e.g. Microsoft Print to PDF).
- In the print options, choose a lower DPI or “smallest file size”.
- Save the newly generated PDF.
Option 3: Remove unused pages or images
If your PDF contains unnecessary pages or large images, removing them can drastically reduce size. Use our Split PDF tool to extract only the pages you need.
Tips for keeping PDFs small
- Scan at 150–200 DPI instead of 300+.
- Compress images before adding them to the PDF.
- Don’t embed fonts unless necessary.
By compressing and optimizing your PDFs, you’ll avoid bounce backs and ensure your attachments reach their destination. Check out our other articles on document management in the blog.
